1. Acquisition of http protocol data
Data on each access by users to the LHC-ErUM-FSP Office website is stored and processed in a protocol file. The following data is stored for each access in particular Anonymized IP address, date and time of access, browser type and version, operating system, URL and website previously visited. It is necessary for the system to temporarily store the IP address so that it is possible to transmit the website to the user's computer. The user's IP address needs to be stored for the duration of the session if this is to be achieved. Storage in log files ensures the functionality of the website. We also use the data to conduct statistical analyses and to improve the services for our visitors and third parties interested in the LHC-ErUM-FSP Office and to ensure the security of our IT systems. Data is not analyzed for marketing purposes in this context, nor is this data stored together with other personal user data. Each data record is anonymized by changing the IP address prior to storage beyond one session. This makes it impossible to assign the collected data to a specific natural person.
The legal foundation for the temporary storage of data and log files is Art. 6 para. 1 lit. f GDPR. The processing is necessary for the purposes of the legitimate interests pursued by the LHC-ErUM-FSP Office or by a third party. This interest outweighs the interests, fundamental rights and freedoms of the data subject.
The data is deleted as soon as it is no longer needed for the purpose for which it was collected. It may be stored for a longer period if the IP addresses of the users are deleted or manipulated so that it is no longer possible to identify the accessing client.
Since it is absolutely necessary to collect the data to operate the website and store the data in log files in order to run the website, there is therefore no option for users to object.
2. Cookies
Our website uses cookies solely to fulfil the technical functionality of the website; in doing so, no data is stored by us or transmitted to us. Cookies consist of small text files that are transferred from a website server to the user's computer. You can, of course, also view our website without cookies in principle. Typically, internet browsers are set to accept cookies. You can generally deactivate or restrict the use of cookies at any time via your browser settings. 3. Contact forms and e-mail contact
When you get in touch with us by email or using the contact form, the information provided by you will be stored so that we can process your enquiry and answer any follow-up questions. Your consent to the processing of the data is obtained when using the contact form within the scope of the sending process and reference is made to this data protection declaration.
It is also possible to contact us using the email address provided. If this is the case, any personal data transmitted with the email will be stored. The data shall be used solely for processing the conversation.
Other personal data that is processed during the sending process is used for the purpose of preventing misuse of the contact form and ensuring the security of our information technology systems.
The legal foundation for the processing of the data is Art. 6 para. 1 lit. a GDPR provided that the user has given consent. The legal foundation for the processing of data transmitted when sending an email is Art. 6 para. 1 lit. f GDPR. Should the e-mail contact be intended to conclude a contract, the additional legal foundation for the processing is Art. 6 para. 1 lit. b GDPR.
The users have the possibility of revoking their consent to the processing of personal data at any time in writing. Where a user makes contact with us by email, they may object to the storage of their personal data at any time. The conversation cannot be continued in such a case. All personal data stored as part of the contact will be deleted in this case.
4. Sending newsletters and mailings
We offer anyone interested the opportunity to register on our website to receive newsletters or mailings if they provide personal data. When registering as a person interested in the LHC-ErUM-FSP, you have the possibility of receiving the LHC-ErUM-FSP Office newsletter and mailings on LHC-ErUM-FSP activities. The email addresses that users provide to the LHC-ErUM-FSP Office operator are used for this purpose. The data will be deleted once it is no longer needed to achieve the purpose for which it was collected. The e-mail addresses of users are therefore stored for as long as the subscription to the newsletter is active, except where contractual or legal obligations prevent deletion.
Subscriptions to the newsletter can be revoked by the users in question at any time in writing, using the online amendment form or using a corresponding link in the newsletter.
5. Web analysis by Matomo
This website uses the open-source software tool Matomo (formerly PIWIK) for analyzing the surfing behavior of our users. The following data is stored when individual pages of our website are accessed Two bytes of the IP address of the accessing system of the user, the website accessed, the website from which the user accessed the website (referrer), the subpages accessed from the website accessed, the time the user spent on the website and the frequency of access to the website.
This software runs solely on the servers of our website. The personal data of users is only stored there. The data is not forwarded to third parties. Processing the personal data of users allows us to analyze the surfing behavior of our users. We are able to compile information about the use of the individual components of our website by evaluating the data acquired. In doing so, this helps us to constantly improve our website and the user-friendliness thereof. The software is set so that the IP addresses are not stored in full, but instead 2 bytes of the IP address are masked (e.g.: 192.168.xxx.xxx). This means that it is no longer possible to assign the shortened IP address to the retrieving computer. By making the IP address anonymous, the interest of users in the protection of their personal data is taken sufficiently into account.
The legal foundation for the temporary storage of data and log files is Art. 6 para. 1 lit. f GDPR. The purpose of processing is to safeguard a legitimate interest of the LHC-ErUM-FSP Office or a third party. This interest outweighs the interests, fundamental rights and freedoms of the data subject.
This anonymization of the IP address ensures that users' interest in the protection of their personal data is sufficiently taken into due account, meaning that the anonymized data can be stored permanently.
6. Integration of external links
This data protection declaration is only applicable to the content of the LHC-ErUM-FSP Office website. The websites of the LHC-ErUM-FSP Office utilize links to external websites, the contents of which are not located on our servers. The external content of these links has been checked at the time the links were created. The possibility cannot be excluded, however, that the content may be subsequently changed by the respective providers. Should you become aware that the content of external providers infringes applicable law, then please let us know by sending an email to webmaster@lhc-deutschland.de.
7. Minors
When transmitting personal data of minors, consent is required from their legal guardians.

We apply the most advanced technical precautions to protect your data against loss, destruction, falsification, manipulation and unauthorized access. To the extent that your data is collected and recorded by us, it will be stored on specially protected servers of DESY Hamburg. These are protected against loss, destruction, access, modification or dissemination of your data by unauthorized persons by means of technical and organizational measures. Only a few authorized persons have access to your data. They are responsible for the technical, commercial or editorial supervision of the servers. All our employees are obliged to respect confidentiality.
9. Your rights as a data subject

You are free to withdraw your consent at any time with effect for the future. If you have a complaint, you can contact the supervisory authority responsible for you at any time.
